Job Description

As our On-boarding & Operations Coordinator, you will act as the bridge between recruitment and the wider people teams, ensuring a smooth transition for all permanent hires within Publicis Sapient London.

You will be supporting the Onboarding & Operations Lead where you will be involved in contract creations, follow ups, background checks, visa and relocations coordination as well as facilitate all pre-start onboarding initiatives. This role is pivotal to the new hire candidate experience.

In this role you will work very closely with the OB &Ops Lead who will provide direction on the overall candidate experience & recruiting performance strategy. You will be involved in delivering this strategy by working collaboratively across the business, in accordance with agile methods & principles.

Your Impact:
Co-Own & co-manage the Contract to first day cycle for every new hire ensuring positive experience for all parties involved as well as ensuring efficient and accurate migration of information to the staffing/resource, IT, Stakeholders and L&D Teams accordingly

Create and review Contract documents and liaising with Legal, People and Global Operations where required

Liaise with Talent Acquisition/HR and Staffing teams to retrieve onboarding contacts information

Initiate and guide candidate through background check initiatives and any onboarding related tasks

Initiate and oversee the visa process, working closely with the Global Resources / Mobility teams

Work with Vendors to assure relocation package is initiated in accordance to approved budget. Book relocation flights and accommodation.

Co-Own and facilitate Pre-Start Onboarding initiatives such as Introduction Meetings

Monitor and continuously work on improving the new hire experience within the recruitment capacity alongside your talent acquisition & People team counterparts.

Act as a dependable point of contact for recruiters, Pre-Start Hires and wider people teams/ Global Ops in relation to all new hire updates/ status of offer, escalating any blockers to the TA Manager.

Assist in improvement related project work when and where required

Update weekly/ bi-weekly / monthly reports

Experience Guidelines:
Professional work experience in coordination/operations within a high paced environment

Proven record of being able to prioritize and multitask accordingly

Experience writing business correspondence, creating reports & presentations

Experience solving practical problems and dealing with a variety of circumstances

Proven experience working with recruitment teams and/or within an operational capacity will be an advantage

Set Yourself Apart With:
Strong or Intermediate proficiency in Excel

Previous Experience in Recruitment environment or HR department

Familiarity with agile ways of working
