About the Position

The position will be to support an NHS clinical leader and their team with an expansive and multifaceted portfolio of work related to NHS Healthcare and Higher Education. This role will involve working across several universities and higher education providers in London as well as NHS providers.

This is an opportunity for applicants at a wide range of levels. Either an entry level personal assistant (PA) with pluck, enthusiasm, and an eagerness to learn or a skilled and experienced PA and administrator looking to work with exciting and impactful challenges in a new arena.

Working pattern
Full-time preferable, but >50% part-time considered. Working hours will generally be between 9-5 Monday to Friday, but some weekend or evening work will occasionally be required with time off in lieu. We work to tight deadlines and unpredictable demand, but we also appreciate your need for a personal life. As such we would look to establish a mutually beneficial flexible pattern of work.

Compensation

Salary of £28,000 – £38,000 depending on experience, skills, and potential. This post is eligible for the NHS pension scheme. The initial contract will be for six months with a view to extension.

Location
You can expect to spend up to 50% of your time working remotely. The post will primarily work out of an NHS health centre in North London 90% of the time. Activities take place across London and will involve some travel.

Leave
Five weeks of annual leave plus UK Bank Holidays. In addition, one week study leave for approved courses and development opportunities per year plus funding for relevant courses. Bonus day of leave when your birthday falls on a weekday.

Key responsibilities:
· Manage multiple calendars of meetings, teaching and engagements

· Curate and maintain task and to-do lists and priorities

· Coordinate meeting agendas, meetings rooms, and online conferences

· Manage expenses, purchasing and budgetary documentation

· Coordinate, book and arrange travel and logistics

· Maintain confidentiality and discretion in handling of patient and staff information

· Manage administrative tasks, prioritise, filter and action incoming emails and correspondence

· Manage events and keep activities on track including organising of conferences and teaching events

· Support meetings collating and producing minutes

· Draft reports, papers and presentations

· Provide holistic life support for both personal and work-related admin for the primary

· Communicate with patients, employees and stakeholders in a professional and compassionate way

Qualifications, Education & Training

GCSEs in English & Maths at Grade 5 (Grade C) or above (E)

Bachelor’s degree in any subject (D)

Relevant courses/qualifications as a personal assistant (D)

Relevant qualifications in project management (D)

Skills/Knowledge

Advanced skills in Word, Outlook, Excel, PowerPoint (E)

Fluency in English (E)

Ability to use project management software or ability to learn (D)

Ability to use social media for basic marketing and communications (D)

Ability to produce newsletters using systems such as MailChimp (D)

Skills in basic web design or content production (for example Wix) (D)

UK driving license (D)

Experience

Experience organising events (E)
