Overview

Reputable Lift company based in North London is looking for an experienced Repairs and Modernizations Administrator (Maternity Cover) to assist with duties within the Repairs Department. The role will include but is not limited to:

  • Raising invoices, purchase orders and quotation on Protean system
  • Logging jobs on Protean system and allocating to appropriate engineers
  • Managing filing systems
  • Answering the telephones
  • Taking messages and passing on to relevant people
  • Booking in projects
  • Allocating jobs to engineers and sending out job sheets
  • Opening post
  • Creating work programs
  • Updating Dynamics365 with, projects, job sheets or status
  • Liaising with staff, suppliers and clients
  • Project costing (costing projection and costing when the projects are completed)
  • Booking couriers and hotels when necessary
  • Covering for Service Coordinator when necessary
  • Creating and maintaining insurance trackers.
  • To provide weekly updates, and reports to clients.
  • Chasing engineers for updates.
  • Create repairs and maintenance reports and issuing to clients.
  • Inform clients about amended work dates when necessary.

  • Salary up to 30K per annum depending on experience
  • 40 hrs per week (Mon – Fri 08:30am to 5pm)

Skills and Experience required:

  • Excellent communication skills (verbal and written)
  • Knowledge on Protean system will be an advantage
  • Attention to detail and accurate production of documentations at all times.

  • Ability to adapt to changing priorities
  • Approachable
  • Ability to follow procedures and work in fast paced environments at all times.
  • Fully competent on Microsoft packages
  • Previous experience within fast pace office environment.
  • Experience of supporting staff at a senior level
  • Experience of minute-taking
  • Experience of managing workload and prioritisation
