Facilities Coordinator – About the role:

The Facilities Coordinator will work closely with the Access Management Team, Third Party Contractors, and take responsibility for ensuring the Group’s physical properties in their region ( including its offices, data centres and network sites) are maintained, in accordance with ISO/BSI standards and legal & contractual obligations, whilst managing costs to a minimum.)

Operationally they are responsible for the facilities-related environment, including Health and Safety, environmental and security activities and accreditations

This is a home-based role, with regular travel into the Bristol office, and to different sites when required for meetings ( mostly in and around the Bristol area),and a few other sites within the South of England.

Facilities Coordinator – Key Duties:

  • Manage the day-to-day aspects of facilities management within designated regions
  • Assign ownership and plan to resolve issues of Facilities service desk queries
  • Establish, review and improve facilities policies, processes, and procedures for all sites
  • Procure, manage and audit third party maintenance and other facilities related contractors, including but not limited to building maintenance, cleaning, heating, electrical and water treatment. Ensure work is carried out to high standards and in accordance with agreed SLAs, following up on any issues.
  • Engage in project work, such as moves, adds and changes, new office opening, office closures
  • Maintain high levels of physical security in accordance with security policies and practices
  • Manage all property related financial administration including purchase orders and invoice authorisation within Delegations of Authority
  • Ensure legal, efficient and cost-effective waste management and recycling
  • Reviewing risk assessments and method statements
  • Regular travel to all sites ( predominantly in the Bristol area) and some travel into the Southern office

Facilities Coordinator – Skills required for the role:

  • Preference for a background working in providing facilities services
  • Good understanding of negotiating fees and scopes of work with third party contractors
  • Demonstrable working knowledge and experience of facilities related legislation
  • Experience of completing and implementing risk and / or impact assessments
  • Strong influencing, negotiation and decision-making skills for managing incidents in multiple locations
  • Self-motivated and able to adapt to a changing environment
  • Proven track record in making sure that an efficient service delivered matches expected expectations and deliver results.
  • Experience of training and / or coaching others to deliver facilities, environmental or health and safety duties.

Although the role is home based, candidates who are within a commuting distance of their Bristol office will be encouraged to apply for this role. However, the role will occasionally need meetings at their Bristol office, and regular travel to other sites predominantly around the Bristol area.
