At the forefront of innovation and to provide cross functional incremental revenues to the broader business, a specific division called Universal Music for Brands (https://www.umgb.com/) was established in 45 markets, covering 70 territories, and provides tailor-made entertainment marketing, creative, content and media solutions to many local and global partners.

The central UMGB team consists of specialist teams (insights & consultancy, creative, talent relations, legal, finance) and commercial teams (key accounts, new business, and market relations.)

We’re looking for an Executive Assistant to support the EVP, Universal Music Group & Brands.

The B Side: Skills & Experience

Be Organised

Coordination of events and meetings for the EVP, UMGB

Arrangement of the EVP travels, preparing itineraries (flight, train, hotels, transfers etc) and managing expense claims

Organize, plan and prepare the meetings including agenda and minutes

Management of the business social media of the EVP, notably on Linkedin

Participate in the organisation and operational management of internal team projects

Ticket ordering and distribution of tickets throughout the team for International events and awards

Co-ordination of the New Business Global team in London (IT equipment etc)

Support new employee onboarding; ordering necessary equipment, etc

Co-ordination, co-chairing of weekly Management meetings

Organisation of yearly global conferences

Responsible for entertainment within the department, birthdays, special moments and more (we have a lot of fun!)

Be Collaborative

Regularly interact with external and internal stakeholders at all levels

Work very closely with the Executive Advisor of the EVP in the preparation of his meetings, client pitch documents including presentation decks, etc

Person Specification

Necessary

Experience working as a team coordinator, executive assistant or similar at a large company

Experience in working in a fast-paced dynamic, high-pressured and international environment (ideally within music or media)

Outstanding communications skills

Previous experience of dealing with senior executives across an organisation

Skilled in relationship building with a high sense of integrity

Proven experience of working under own initiative and as part of a team

Excellent IT skills, especially in Powerpoint/Keynote, Word and Excel (or similar)

Proactive approach to work, able to pre-empt problems before they occur

A good teammate and team player

Desirable

Experience working in / passionate about music
