Job Description

To provide key business and administrative support to the Director and Leadership Team. This varied and challenging role required an exceptionally organised and proactive individual whose main responsibilities will include:

Management of all social media activities

  • Plan, write copy, create artwork and schedule posts for social media platforms
  • Review analytics and adapt accordingly
  • Proofread/update blogs and upload to website
  • Manage internal blog process and liaise with team/guest bloggers for content
  • Produce Quarterly newsletter
  • Website management
  • Make minor updates to website
  • Manage relationship with website provider and ensure updates are made in a timely manner
  • Manage SEO with website provider

Client facing activities

  • Engagement with potential clients
  • Support with creating and delivering quotes
  • Updating, issuing and managing contracts
  • Client onboarding
  • Invoicing

HR support

  • Coordinate all new starter onboarding activities
  • Management of internal training plans
  • Maintain holiday/sickness absences on Breathe HR
  • Interview and recruitment coordination
  • Vitality healthcare plan management

Technical support

  • Manage access to online systems
  • Proofread medical documentation
  • Update regulated application forms
  • Make changes to documentation based upon requests (e.g., Patient Information Leaflets)

Other activities to include

  • Organisation and minuting of client and team meetings
  • Accounting support
  • Project management
  • Ad hoc support to team as required

Knowledge and experience required:

  • At least 5 years’ experience working in a comparable role
  • Proficient in all Microsoft applications, Adobe and the ability to quickly learn new electronic systems
  • Advantageous to work in a highly regulated industry
  • Proven project management skills
  • Qualification in Project Management and/or Business Administration would be advantageous

The successful candidate will also be able to demonstrate:

  • Ability to maintain confidentiality of highly sensitive information
  • Excellent interpersonal and communication skills (written and spoken English proficiency is critical)
  • Excellent organisational and time management skills
  • Proactive and driven with strong work ethics and reliable
  • Excellent attention to detail
  • Ability to problem solve and make decisions autonomously and be able to multitask
  • Ability to work as part of a team and independently

Additional information

This role is solely remote, a company laptop will be provided but the successful candidate will have a professional work setting for company video calls as well as a high-speed reliable internet connection. All training for technical requests (as listed above) will be provided where appropriate.
