The Royal London Emergency Department is looking to recruit an enthusiastic and motivated individual to our Reception Team. The Royal London is part of Barts Health NHS Trust, one of Britain’s leading healthcare providers and the largest trust in the NHS. It was created on 1 April 2012 by bringing together three trusts: Barts and The London NHS Trust, Newham University Hospital NHS Trust and Whipps Cross University Hospital NHS Trust. The new trust has a turnover of approximately £1.1 billion and approximately 15,000 employees.

The Emergency Department at the Royal London saw over 500 patients daily in 2019/20 from East London and beyond. It is the home to the London Air Ambulance helicopter emergency medical service (HEMS) and Physician Response Unit (PRU). In response to Covid-19, the department has undertaken new initiatives with our partners at London Ambulance Service and NHS111 to provide the right care to patients at the right time. This involves rapid assessment of patients arriving to the department as well as virtual consultants prior to patients arrival.

The role of the Receptionist is vital to the smooth functioning of the department. The team welcomes every patient and ensures they are registered and correctly managed throughout the department by working closely with our clinical teams. The role involves shifts including nights, weekends and Bank Holidays as part of the rotation shift team.

Provide administrative and clerical support to the clerical support to the clinical, nursing and managerial teams to support the effective and efficient running of the Emergency Department (adults/paediatrics), Minor Injuries Unit, Ambulatory Care and Clinical Decision Unit.

  • To receive and register injured/trauma patients presenting to the ED within the agreed timescales and customer care standards.
  • Book all patients in, on CRS and enter the patient’s details accurately onto the system, ensuring that previous attendances are collated immediately and secured appropriately.
  • To ensure accurate and diligent administration with regards to receiving and registering patients.
  • To support clinicians in virtual clinics and ensure registration and subsequent appointment booking for patients.
  • To be aware of potential patients who may require immediate assessment, due to the way in which they present and summon clinical assistance or security as required. Be part of the Trust’s Major Incident Team and ensure awareness of responsibilities in such an event to ensure a smooth running of the incident. To be responsible for day to day administration, including manning of telephones, distribution or any correspondence received and completing filing.
  • Arrange transport for patients as and when requested by the clinical body.
  • Ensure all patients are registered appropriately and in a timely manner.
  • Provide assistance to patients and visitors in the registration queue and ED waiting room.
  • To support Reception Supervisors with all tasks related to the administrative functioning of the Emergency Department, Clinical Decision Unit, and Minor injuries unit.

Be fully conversant with, the Trust’s electronic Clinical Record System, associated ‘down time’ procedures.

  • Ensure that all notes are either requested, filed and/or returned back to medical records.
  • As part of a daily routine, ensure all stationery stocks are maintained and check all ICT equipment in the department reporting any faults to the ICT Helpdesk promptly in order to support the effective and efficient running of the service.
  • Ensure out-patient referrals/clinic bookings are processed promptly and in line with local policy.
  • Ensure that Discharge Summaries are sent to relevant healthcare providers within 24 hours of patient’s attendance (e.g., GPs, Health Visitors).
  • Ensure that emergency admissions are entered on CRS and that documentation is prepared accurately and promptly according to local policy.
  • Maintain the electronic Bed Board in CDU to ensure patients are registered to the correct Consultant and Specialty.
  • Support the clinical and nursing team in CDU with administrative and clerical duties as required.
