Your new role

Administrative support:

  • To administer the scheduling and clerking of a number of regular cross-departmental meetings as directed by the AE Operations Manager and AE Administrator including ensuring rooms are booked, invitations issued, minutes and action logs written and agendas and papers developed and circulated in a timely fashion
  • To follow-up with colleagues to ensure that actions are completed in a timely manner
  • To ensure that regular meeting documents are updated and circulated in a timely fashion, including regular meeting presentations, cyclical reports and other associated documents
  • To support the AE Associate Director of Business Operations with PA support including day-to-day diary management and support them with other matters as they arise
  • As required, to also support the Director of the University’s Awarding Body and AE Associate Director of International Enterprise with day-to-day diary management and support them with other matters as they arise
  • To support with staff consultations, including monitoring the consultation inbox, responding to requests for meetings, triaging enquiries and sending out bespoke documentation
  • Liaise with colleagues across AE as required to ensure rooms are booked and set-up as required, including in Timetabling, Estates, IT and Catering

Co-ordination of projects and initiatives

  • To work with the AE Operations Manager, other colleagues across AE SMT and the Deputy Vice Chancellor RKEE on administrative support for the creation of new strategies and associated workstreams
  • To support the implementation of these strategies and existing workstreams through a series of project boards and working groups by organising and documenting meetings and co-ordinating events and other activities
  • To ensure relevant project and BAU documents are maintained and updated as required, including risk registers, action logs and project plans
  • To help in the delivery of cross-departmental engagement work, including the planning and coordination for departmental Away Days, training activities and other in person and online activities
  • To support the administrative work of various AE business units and the RKEE portfolio as required from time to time.

General

  • Assume other reasonable duties consistent with your role, as determined the AE Operations Manager, which may be assigned to you anywhere within the University.
  • Undertake health and safety duties and responsibilities appropriate to the role.

  • To personally contribute towards reducing the university’s impact on the environment and support actions associated with the University Sustainability Manifesto (2016 – 2022)

What you’ll need to succeed

  • Thorough knowledge of Office programmes: Word, PowerPoint, Outlook and Excel.
  • Administrative experience in a busy, client-facing environment
  • Secretarial duties, including diary management, minuting and room bookings
  • Communicates effectively orally, in writing and using visual media underpinned by active listening skills.
  • Distils complex information into easily understandable formats, appropriate for a variety of different audiences
  • Plans, prioritises and organises work to achieve objectives on time
  • Provides a positive and responsive student or customer service
